Cancellations, refunds, credits, and billing problems
Request a billing review with the order or invoice reference and the applicable agreement. Whether an order can be cancelled, a charge refunded, or credits used depends on the service stage and your terms; do not assume eligibility, a refund window or a cancellation control.
Gather the applicable terms
- Check your order quote, invoice and signed agreement against the current pricing catalog. Identify base services, add-ons and any external fees.
- State whether the order appears pending, partly completed or completed; a pending status does not prove that no billable work has begun.
- Ask billing to confirm the applicable cancellation, refund, renewal, credit and payment terms in writing if they are not clear.
Request cancellation or refund review
- 1Identify the exact order and reason for the request; avoid submitting a replacement order while the original status is uncertain.
- 2Ask whether work can be stopped and whether any searches or external costs have already been incurred. Do not assume a completed search can be undone.
- 3Request the applicable eligibility decision and any charges or adjustments, with the relevant terms.
- 4Ask how an approved change will be confirmed and where it will appear on your invoice or payment record. A review request alone is not proof of cancellation or refund.
Duplicates and payment failures
- For suspected duplicate charges, provide dates, amounts and invoice/order references. Distinguish two orders from a repeated charge or a pending payment authorization; billing must confirm what occurred.
- For a suspected duplicate order, identify both references and ask which work has started before reordering or requesting cancellation.
- For a failed or uncertain payment, record the message and ask whether payment or an order was recorded before retrying. Never email card numbers, bank credentials or account statements.
- If account access is unavailable, use your account email and invoice reference to request help rather than sharing login credentials.
Renewals and unused credits
- For renewal questions, ask which agreement applies, the renewal date, notice requirements and how an approved change takes effect. Do not assume automatic renewal or cancellation mechanics.
- For unused credits, ask for the balance and what they can cover, including package/add-on restrictions, expiry, rollover, transfer or refund terms. No general expiry or cash-value promise is established here.
- Ask whether a proposed change affects future orders, an existing billing period or already incurred fees. Do not assume prorating or retroactive adjustments.
When the issue remains unresolved
- Follow up in the same thread with the original reference and the specific amount or status still in question.
- Ask for the billing owner's explanation and applicable terms, keeping payment evidence in an approved secure channel.
- Keep the written outcome and compare it with the next invoice/payment record before considering the issue resolved.
